A consistent landlord onboarding process protects the agency, improves compliance and creates a better first impression. The goal is to collect everything once, check it properly and make it visible to the team.

Core information to collect

Start with the basics: ownership details, contact preferences, bank information, service level, property access and emergency contacts. These details should be structured, not buried in email.

  • Landlord identity and ownership evidence
  • Bank and payment details
  • Management service level
  • Contact preferences and emergency instructions

Compliance checks

Before marketing or move-in, confirm the documents needed for the property type and service. Missing documents should create tasks with owners and due dates.

  • EPC, gas safety and electrical certificates
  • Licensing or local authority requirements
  • Right-to-rent and deposit process responsibilities
  • Insurance and safety documentation

Go-live handover

The onboarding process should end with a clear handover into marketing, lettings or management workflows so the property does not stall after instruction.

  • Photography and listing requirements
  • Key collection and access notes
  • Rent expectations and review dates
  • Agreed reporting cadence
